Cross Org Search
Cross Org Search lets MSPs and other multi-org administrators search across all of their client organizations at the same time from a single screen — no more searching one client, switching to the next, and repeating the same query. Ask once, see matching devices everywhere, and jump straight into any result.
Who Can Use It
Cross Org Search is part of MSP Tools and is visible only to users who are Admin or higher in two or more active organizations. If you administer a single organization, the cross-org menu won't appear.
Throughout this article, "client" and "organization" mean the same thing — each managed school or district is a separate K12Panel organization.
Finding It
Open MSP Tools in the left navigation menu and choose Cross Org Search.
Selecting Organizations
When you open Cross Org Search, the organizations you administer are listed at the top of the page so you can choose which clients to search.
- By default, all of your active organizations are selected.
- Click any organization's checkbox to deselect it and remove it from the search scope.
- The header shows a live count of how many organizations are selected (e.g., 12 of 15 selected).
- Your selection is remembered if you navigate away and come back during the session.
If you've set a default Cross Org List — a saved group of clients — Cross Org Search seeds its initial selection from that list, so you can focus on just the clients you're responsible for without re-checking boxes every time.
Searching
Cross Org Search supports the same two modes as a client's own Assets screen:
Quick Search
Type a keyword (name, serial number, asset tag, model, or manufacturer) and press Enter. Matching devices across all selected organizations appear in the results table.
AI Search
Type a plain-English description of what you're looking for and press Enter. Cross Org Search understands the same fields as a client's Assets screen — hardware, operating system, Windows Update status, Microsoft Defender / antivirus (including active threats), Active Directory domain, installed software, checkout assignment, and dates — applied across every selected organization. You can also scope a query to specific organizations by name, for example Windows 11 laptops at Riverside or devices with active threats except at Sunnydale.
One difference from a single-org Assets screen: in Cross Org mode, category and site searches match by name only — they do not automatically include child categories or sites the way the per-org Assets search does.
Reading the Results
The results table includes an Organization column so you can see which client each device belongs to. You can:
- Sort by any column header.
- Filter by org using the org filter above the table to narrow results to a single client after searching.
- Click a device name to jump directly to that device's detail page (see below).
Jumping into a Client
When you click a device name in the results, K12Panel switches your active organization to the client that owns that device and opens its detail page — so you can immediately remediate using the full per-org toolset (run a Modifier, push a QuickCommand, remote in, and so on). To return to Cross Org Search, use the navigation menu or the browser back button.
This is the core MSP pattern: use Cross Org Search to find a device anywhere in your fleet, then jump in to act on it inside the right client. For a wider triage view across clients, see Cross Org Alerts.
Exporting Results
Click Export CSV (available after a search returns results) to download all matching devices — not just the current page — as a CSV file. The export respects your current search filters and organization selection, making it easy to hand a client or colleague a list of, say, every device past warranty across the whole fleet.
Notes
- Only active (enabled) organizations appear in the selector.
- Your organization selection and last search are restored automatically when you return to the page during the same session.
- Cross Org Search is subject to the same AI Search rate limit as a client's Assets screen.
Frequently Asked Questions
How is this different from searching inside one client? A client's own Assets screen searches that single organization. Cross Org Search runs one query across every client you select, with an Organization column so you can tell results apart.
Can I limit a search to certain clients? Yes. Deselect organizations at the top of the page, use the org filter after searching, or set a default Cross Org List to pre-scope the screen.
What happens when I click a device? K12Panel switches your active organization to the client that owns the device and opens its detail page, ready for you to act. Use the menu or back button to return.
Does the CSV export include every match or just the visible page? Every match for your current filters and organization selection — not just the page on screen.
Why don't category and site searches behave like they do per-org? In cross-org mode they match by name only and don't automatically include child categories or sites, because category and site hierarchies differ from client to client.
I don't see the Cross Org Search menu — why? It requires Admin or higher in two or more active organizations. With access to a single org, the MSP Tools menu is hidden.
