Cross Org Search

If you manage more than one organization in K12Panel, you know the drill: search one org, switch orgs, search again, repeat. Cross Org Search puts an end to that. It lets you search across all of your organizations at the same time from a single screen.

Cross Org Search lets administrators who manage more than one organization search across all of their organizations at the same time from a single screen — no need to switch orgs and repeat the same search.

Who Can Use It

Cross Org Search is only visible to users who are an Admin or higher in two or more active organizations. If you manage only one org the menu item will not appear.

Finding It

Cross Org Search appears in the left navigation menu under the globe icon. If you don't see it, your account may only have admin access to one organization.

Selecting Organizations

When you open Cross Org Search, a list of all organizations you administer appears at the top of the page.

  • All organizations are selected by default.
  • Click any org's checkbox to deselect it and remove it from the search scope.
  • The header shows a live count of how many orgs are selected (e.g., 12 of 15 selected).
  • Your selection is remembered if you navigate away and come back.

Searching

Cross Org Search supports the same two modes as the standard Assets screen:

Quick Search

Type a keyword (name, serial number, asset tag, model, or manufacturer) and press Enter. Results across all selected organizations appear in the table.

AI Search

Type a plain-English description of what you're looking for and press Enter. Cross Org Search understands the same fields as the single-org Assets screen — hardware, operating system, Windows Update status, Microsoft Defender / antivirus (including active threats), Active Directory domain, installed software, checkout assignment, and dates — applied across every selected organization. You can also scope a query to specific organizations by name, for example Windows 11 laptops at Riverside or devices with active threats except at Sunnydale.

One difference from the single-org Assets screen: in Cross Org mode, category and site searches match by name only — they do not automatically include child categories or sites the way the per-org Assets search does.

Reading the Results

The results table includes an Organization column so you can see which org each asset belongs to. You can:

  • Sort by any column header.
  • Filter by org using the org filter above the table to narrow results to a single organization after searching.
  • Click an asset name to jump directly to that asset's detail page. K12Panel will automatically switch your active organization to the one that owns the asset.

Exporting Results

Click Export CSV (visible after a search returns results) to download all matching assets — not just the current page — as a CSV file. The export respects your current search filters and org selection.

Switching Organizations via Jump

When you click an asset name in the results table, K12Panel switches your active organization to the org that owns that asset and takes you directly to the asset detail page. To return to Cross Org Search, use the browser back button or the navigation menu.

Notes

  • Only active (enabled) organizations appear in the org selector.
  • Your organization selection and last search are restored automatically when you return to the page during the same session.
  • Cross Org Search is subject to the same AI Search rate limit as the standard Assets screen.
